 I have spent eight hours reviewing all of the emails provided by IT. Of the nearly 1,000 emails, about 350 pages included references to the “Gaddy” email addresses. After reviewing those pages, there were no results related to the specific addresses at 2740 Grove Street NE, Brookhaven, GA 30319, or 2746 Grove Street NE, Brookhaven, GA 30319. 

 Please let me know how you would like to proceed. Would you like us to conduct an additional search, or is it possible the emails may have originated from different email address(es)? Let me know how you would like to move forward with this request.

 The IT Department has verified that the search is correct with the dates and names requested. 

 As per the time, we are estimating 12 hours to review and redact any responsive documents. We have no way of knowing that every single file is responsive to your request until we complete the process.

 A brief breakdown of how the 12 hours are allocated (search, review, redaction), and confirmation that the first 15 minutes of search time are excluded. 


 Confirmation that the search applied only the specified terms (“Gaddy” and “Todd Shoemaker”) across sender, recipient, subject, and body fields. 


 Whether the approximately 1,000 emails referenced have already been filtered for relevance to the specified properties, with duplicate records excluded. 


 Clarification on how redactions are being handled, as I want to be sure I’m not paying for review time that results in fully redacted or non-responsive records. 


 Once I have a bit more detail, I’ll be happy to review and let you know how I’d like to proceed.

 I apologize for the delayed response. I have spoken with IT, and they conducted a new search incorporating your directions as closely as possible. That search returned just under 1,000 emails. In addition, we have received documents from Community Development. 

 Based on this updated scope, the revised estimate is 12 hours. Please let us know if you approve this updated estimate.
